THE RAYLEIGH CRICKET CLUB

NOTICE OF ANNUAL GENERAL MEETING (AGM)

Notice is hereby given that the Annual General Meeting of Rayleigh Cricket Club will be held on WEDNESDAY 23 NOVEMBER 2016 at the Clubhouse starting at 8pm.

In order to allow members to be given chance to consider matters to be discussed at the AGM, a further notice will be issued two weeks before that date detailing all matters for discussion.

In accordance with the Club Constitution any resolutions for consideration at the meeting, including changes to the Club Constitution, must be made to Richard Verrinder, Hon Secretary, in writing, with the name of the proposer and seconder, no later than Wednesday 26th October 2016.

E-mails will be accepted but please ensure they have been received by the due date. Proposals for amendments to the resolutions, but not new resolutions, can be accepted at any time prior to voting on the matter provided the amendment is seconded.

All Club members are encouraged to attend. Elections for all Club officials and team captains will be held at this meeting. The business conducted at this meeting will affect the running of the Club for the whole of next year and if you want to influence the way the Club is run – this is your chance.

Please note Rule 4.2 (see below) of the Club Constitution concerning voting rights at the meeting:

4.2 The Club shall have the following categories of membership on a non-discriminatory and fair basis: Life member, Adult playing member, Women & Girls playing member, Colt playing member (under 15), Student / Unemployed playing member (15 and over), Associate member, Clubhouse member, and Vice-President. The Club will keep subscriptions at levels that will not pose a significant obstacle to people participating. Male playing members will not be permitted to vote for officials in Women & Girls teams, Women & Girls playing members will not be permitted to vote for captains of Mens teams. Any female member wishing to play regularly in Mens or Colts cricket shall be regarded as an Adult or Colt playing member as appropriate. Colt playing members and Clubhouse members will not be entitled to vote at any General Meeting.

Resolutions for 2015 AGM

Resolutions for the 2015 Annual General Meeting

Resolution 1 – Committee resolution

It is proposed that anyone who plays occasionally shall pay a match fee of £15 for an adult and £8 for a student, unemployed or retired person. 

Resolution 2 – Committee resolution
It is proposed that Adult, Student / Unemployed, Colt, Midweek, Associate and Life membership will entitle the member to Clubhouse membership for his/her immediate family at no extra cost provided their names are shown on the member’s application form each year.

Note. The Club is registered as a Community Amateur Sports Club (CASC), which gives the Club some significant financial benefits. A new condition for registration of a Community Amateur Sports Club requires that at least 50% of members of the Club are actively participating in sport. The words in red have been added to limit the number of Clubhouse members to those family members who will actually attend social functions at the Club.

It is proposed that Colin White be elected as a Life member of the Club.

Legal basis for processing your personal data

The legal basis for the collection and processing of your personal data is:

·     for administration and programme delivery: that it is necessary to fulfil the contract that you are going to enter into or have entered into with us

·     for dealing with medical needs:  that you have given your explicit consent or in the child’s vital interests.

·     in all other cases: that it is necessary for our legitimate interests which are to build a programme to encourage participation in cricket and does not prejudice or harm rights and freedoms of parents / guardians or the children that join the programme.

Your right to withdraw consent Where you have given your consent to any processing of personal data, you have the right to withdraw that consent at any time.  If you do, it will not affect the lawfulness of any processing for which we had consent prior to your withdrawing it.
Location of your personal data The Club will keep your personal data within the European Economic Area.
How long we will keep your personal data for                             

 

We will not retain your personal data for longer than is reasonable and necessary for the purposes for which it was collected. We shall retain your personal data for such time as you are registered with Rayleigh Cricket Club as a member.   

2 years after you cease to be a member of Rayleigh Cricket Club or play an active part in Rayleigh Cricket Club, we shall delete your data.

Your rights in respect of your personal data

 

You have the right of access to your personal data and, in some cases, to require us to restrict, erase or rectify it or to object to our processing it, and the right of data portability.
