Rayleigh Cricket Club - Data Protection Statement

Introduction

Personal data is vital to Rayleigh CC to enable the club to effectively manage its relationship with staff, volunteers, players and members. We recognise that it is important to respect their privacy and to keep information safe.

Privacy statement to be included on membership application forms

Rayleigh Cricket Club (RCC) will hold the details on this form electronically with other information it holds about you and will use this for the following purposes: 

-       To maintain RCC records

-       To administer and enforce the RCC rules and codes of conduct

-       To contact you on club cricket and other cricket related matters

-       To include basic contact information on Play-Cricket / our own website / T Rippon website

We may, from time to time, disclose relevant information relating to your role within the club to other cricketing bodies including District & County Boards, County Clubs, Leagues and other ECB affiliated cricket clubs.

Occasionally, the RCC, RCC sponsors, commercial partners and other suppliers of products and services would like to contact you by mail, email, text message or telephone with information and offers that are relevant to the role(s) you have in cricket or with information or offers that we or they believe may be of interest to you unless you indicate otherwise on the membership form.

·         I DO NOT WANT to receive information and offers from RCC sponsors, commercial partners and/ or official supporters by mail, email, text message and/ or telephone

·        I DO NOT WANT to receive information and offers from other suppliers of products and/ or services by mail, email, text message and/ or telephone

Consent. I understand that when submitting the membership form I am consenting to RCC using my information and to receiving information as described above unless I have indicated otherwise.

Further information about how we look after your information and your rights in respect of that information is available from the Club Secretary. This policy will be available on the website under governance.

You are entitled to a copy of the information held about you for which a fee may be charged.  Details of how to do this will be provided by Rayleigh CC on request.

What information do we keep about club members

-        Names of players, coaches, members and officials

-        Date of birth of players under 21

-        Contact details including email addresses, postal addresses and telephone numbers

-        Photographs of players

-        Other information about people, including ethnicity, gender, medical details

-        Direct debit payment details where provided by members

How is this data stored ?

  • Stored on paper form by elected club officials
  • Stored in electronic form
  • Password controlled

Who has access to the data ?

  •         Team captains – paper only relating to player contact info + medical
  •         Colt managers + medical
  •         Committee members
  •         Technical support

How long is this information retained ?

The data held will be reviewed during the month following the end of each season and whenever membership is notified as terminated by either party. Data will be deleted within one month of notification of termination of membership.

How is the data kept secure ?

Paper files will be stored securely

Electronic files will be password protected

RCC will

Publish this statement on its website and update it annually

Notify members on the membership form

Notification to Information Commissioners Office (ICO)

As RCC is a not-for-profit organisation - it is not registered with the ICO.

Security

Data retained and sent via email (eg spreadsheet) will be password protected

Captains / managers are reminded at regular meetings to keep details secure

Sharing data

RCC will share member contact data with leagues with which it is affiliated
